MEMBER ACCOUNTS AND PAYMENTS
All green fees are collected by CorporateGolfXtra. Your account will be charged for the preferred rate at the time of play. You will not be required to pay for green fees in the pro shop unless otherwise specified or you have not followed proper booking procedures. Accounts can be settled with Visa, MasterCard or a cash account. Payments by Visa or MasterCard will be charged to your account within 24 hours of play and will show up on your credit card statement as “CorporateGolfXtra Banff”. Any charges to your statement which do not show up as “CorporateGolfXtra Banff” do not reflect charges to you from CorporateGolfXtra but rather purchases that you have made directly with the golf course in question. Payments by “cash accounts” will be deducted from your “cash account” within one(1) day of scheduled play. You may check your balance at any time by logging into your MEMBER DASHBOARD under MY PROFILE. Cash accounts must have at least an equal or greater value than the preferred green fee that will be charged to your account at the time of booking.
OVERDUE ACCOUNTS
Any overdue accounts will be deactivated until the balance is cleared. If for some reason the credit card on file is declined for a transaction, you will receive instant notification via email. Please call us to update or clear your balance so we may reactivate your account. CorporateGolfXtra will not know the reason for any declined transaction; this is only relayed information from your carrier. Accounts going into negative balances 3 times or more during the season will require payment in advance for any bookings made. Accounts with outstanding balances for over 30 days or beyond October 15th will be subject to a non-refunadable late payment fee equal to 25% of the total amount owed. Accounts that remain in arrears for more than 60 days or pass the November 1st deadline, will be forwarded to a third party collections agency. To meet the agency’s minimum requirements of $50.00 or more, balances falling below this threshold will be subject to an additional penalty.
BOOKING CorporateGolfXtra GREEN FEES
It is mandatory that you go online or call CorporateGolfXtra to book your Green Fee before checking in for a tee time at the golf course. If you fail to perform this step, the golf course will not have authorization from us, and you will be asked to pay for a regular rate green fee when checking in. Green Fee reservations with CorporateGolfXtra are not accepted via voicemail, email or text message, they must be called in or booked online. As stated in our booking procedures, it is also advisable to book your Green Fee with CorporateGolfXtra before you book your tee time with the golf course.
BOOKING A GREEN FEE WITH CorporateGolfXtra DOES NOT GUARANTEE TEE TIME
Booking a Green Fee with CorporateGolfXtra does not guarantee an actual tee time at the golf course. Booking a Green Fee simply gives you the benefit of the CorporateGolfXtra membership to the course in question on the specific day that it has been booked. Tee times must be made directly with the golf course. CorporateGolfXtra Green Fees give you the authority from CorporateGolfXtra to your Membership on the day and course in question, provided you comply with any booking guidelines that may apply to that specific booking. Once a Green Fee is reserved, you are scheduled to be billed and will be billed if proper cancellation procedures have not been followed. If you receive a complimentary round from the golf course, if an outside source is purchasing your round, if the course is offering discounted rates due to course factors and/or Early Bird/Twilight Rates, you must contact CorporateGolfXtra Administration before you tee off to request a cancellation of your Green Fee reservation. This cancellation request may be denied by CorporateGolfXtra Administration if the Green Fee occupied cannot be filled by other Members. Green Fee reservations with CorporateGolfXtra are not accepted via voicemail, email or text message, they must be called in or booked online.
ONLINE BOOKINGS / BOOKING FOR FRIENDS
Any Member booking with CorporateGolfXtra through our online booking program will be responsible for any bookings for themselves and any other Members they choose to book for. If you make the booking for yourself and/or other CorporateGolfXtra Members, you will be responsible for this booking in the case of any discrepancy brought forward by any other Member whom you have booked. This includes being responsible for no shows, booking the wrong golf course, booking the incorrect date, double bookings, cancellations, and Green Fee reservations with CorporateGolfXtra. If a discrepancy happens, the Member who has made the booking(s) will be responsible for the booking amount in question and charged accordingly. It is the Member’s responsibility to ensure the booking has gone through correctly and is booked for the right course and date, which is displayed at all times on the Member’s dashboard in the online booking calendar profile.
BOOKING TEE TIMES WITH A GOLF COURSE
You are booking tee times directly with the golf courses as a public player. Normal booking rules will apply to all Members. This includes leaving a credit card with the course at time of booking to secure your tee time if they require one. If you refuse to follow the golf courses policies on publicly booked tee times you may be denied a tee time from the course when booking. CorporateGolfXtra Preferred Green Fees may not be used for any tournament play/group bookings or combined with any other coupon or discount product. If the golf course deems this to be the case, it is within their discretion to not accept your green fee and require full payment of a regular green fee at check in.
TEE TIMES DO NOT GUARANTEE GREEN FEE RESERVATION
If you have booked a tee time or are joining a group with a tee time booked already, this does not guarantee you a Green Fee with CorporateGolfXtra at that course on the day in question. CorporateGolfXtra is separate from the courses and allocates so many players per day at each course, you can view how many “slots” are available at any time online when logged in. Once our limit is reached the course will be closed for the day in question, unless a cancellation is made in which case the course “slots” will open up again. It is advisable to go online or call CorporateGolfXtra first before making a time to see what remains at each course on the day in question.
BOOKING TEE TIMES WITHIN ALLOWED PARAMETERS
Some golf courses have a maximum amount of days in which CorporateGolfXtra Members may book tee times. This applies to all bookings made by CorporateGolfXtra Members or non-Members. If you have a tee time that has been booked with a course or you are joining a tee times that has been booked outside of the allowed advanced booking days, you will be required to pay full rate at check in by the golf course. You will also incur a charge from CorporateGolfXtra for the Green Fee occupied by your Membership. All these policies are clearly stated on this website and inside the online booking program, which will require you to check a disclaimer of this policy at the time of booking. Continued violations of this policy will result in immediate termination of Membership with no refund.
NO-SHOW FOR BOOKINGS
If you make a Tee Time with a golf course along with a CorporateGolfXtra Green Fee and fail to show up without prior notification, you may be charged by both the golf course and CorporateGolfXtra for the booking in question. In this case you have two separate bookings with two companies. You would be holding a Green Fee with CorporateGolfXtra that could be sold to other Members and you would be occupying a Tee Time at the golf course which may be sold by them to other patrons. If you NO-SHOW for a Tee Time you have made as a CorporateGolfXtra Member in the golf course’s system, the course may charge us at CorporateGolfXtra for the NO-SHOW. In this case CorporateGolfXtra will charge the Member’s account in question for the amount of the NO-SHOW charge. This charge may be applicable to the entire group booking, and the Member who made the booking with the golf course & CorporateGolfXtra will be held accountable if any discrepancy is brought forward.
GREEN FEE CANCELLATION POLICY
Unless otherwise specified at time of booking or on your confirmation from CorporateGolfXtra, Green Fee cancellations must be made no later than 5:00pm one(1) day prior to the booking. For example: To cancel a Thursday reservation one MUST phone or cancel online with CorporateGolfXtra before 5:00pm Wednesday evening. Any cancellation made after 5:00pm the day prior to the booking will be considered a Late Cancellation. Late Cancellations are subject to a minimum 50% Late Cancellation Fee. The cancellation will be forwarded to CorporateGolfXtra Administration for review and may be subject to a charge of the remaining 50% of the VIP Preferred Green Fee. Cancellations with CorporateGolfXtra are not accepted via voicemail, email or text message, they must be called in, cancelled online or cancelled as instructed in your email confirmation.
Cancelling a Green Fee with CorporateGolfXtra does not cancel your tee time at the golf course. Both the course and CorporateGolfXtra must be contacted to cancel the tee time and Green Fee in question as CorporateGolfXtra does not handle the booking or cancellations of any actual tee times. To avoid any inadvertent charges, check your email for the cancellation confirmation email that will automatically be sent to the email address you have provided. Cancelling your tee time with the golf course does not cancel your reservation with CorporateGolfXtra. If you fail to cancel your CorporateGolfXtra reservation with us you will be billed regardless if you played or not, in this case, you would be holding one of our spots that could be used by other members.
CUSTOM GREEN FEE CANCELLATION POLICY
A CorporateGolfXtra Green Fee reservation at select courses or events may have a custom cancellation policy that differs from the default cancellation policy stated above. Reservations with custom cancellation policies will be shown as a disclaimer upon booking with CorporateGolfXtra online or through our booking app. This custom policy will also be provided in your booking confirmation from CorporateGolfXtra. It is the members responsibility to know this policy and abide by it accordingly. Cancellation requested inside of these policies may be billed out for the green fee booked.
CANCELLING TEE TIME WITH COURSES
Tee time cancellations with golf courses are separate from Green Fee cancellations with CorporateGolfXtra. Cancellation of your CorporateGolfXtra Green Fee does not cancel the tee time made directly with the course unless otherwise specified. Tee time cancellations with golf courses will fall under the course’s policies which you are responsible to know. Any charges incurred from golf courses for unused booked tee times are not the responsibility of CorporateGolfXtra as they are a separate entity and CorporateGolfXtra has no authority over golf course tee times.
WEATHER RELATED CANCELLATIONS
CorporateGolfXtra accepts cancellations for weather conditions based on the golf course in question. Cancellations will be accepted if the golf course is accepting them. If the golf course is not accepting cancellations due to weather at the time requested, the VIP Green fee will be charged to the Member’s account. All and any weather related cancellations must be requested BEFORE YOU TEE OFF. Once you have teed off your first hole, the entire round is considered to have been played and the Member’s account will be charged for the VIP green fee. If the golf course is closed due to weather or for any reason, your request will get approved. To avoid any accidental charges, please call us if the course is closed as we may not be aware of the closure. This does not pertain to any Member who has already teed off. If the course decides to close after your round is already in progress the Member’s account will be charged for the preferred rate for that course. Cancellations with CorporateGolfXtra are not accepted via voicemail, email or text message, they must be called in or cancelled online.
RAIN CHECKS
CorporateGolfXtra does not issue rain checks. Once you tee off the round is considered played. NO EXCEPTIONS. This includes any stoppage of play after you have teed off and includes any sort of delays or closures due to weather related or other scenarios such as lightning, snow, wind, hail, sleet, standing water, slow play, bugs etc. In such cases you may check with the golf course, as some may offer a rain check, however, they are not bound by CorporateGolfXtra or any other entity to do so. This is a policy that is strictly enforced and is the Member’s responsibility to know.
FROST DELAYS
In the event of a frost delay, the course will notify players of their modified tee time. Cancellations due to a frost delay will not be accepted if the delay does not exceed 90 minutes. A weather related cancellation request may be submitted only if a frost delay exceeds 90 minutes. It is suggested to factor in the possibility of frost delays when planning your golf round due to our Canadian weather patterns.
NO SHOWS
If you make a tee time with a golf course along with a CorporateGolfXtra Green Fee and fail to show up without prior notification, you may be charged by both the golf course and CorporateGolfXtra for the booking in question. In this case you have two separate bookings with two companies. You would be holding a CorporateGolfXtra Green Fee that could be sold other Members and you would be occupying a tee time at the golf course which may be sold by them to other patrons. If you NO SHOW for a tee time you have made as a CorporateGolfXtra Member in the golf course’s system, the course may charge us at CorporateGolfXtra for the NO SHOW. In this case CorporateGolfXtra will charge the Member’s account in question for the amount of the NO SHOW charge.
Your CorporateGolfXtra Green Fee is reserved just for you. A Late Cancellation or No Show leaves an opening in our daily inventory that could have been purchased by another CorporateGolfXtra Member. As such, we require the minimum notice of 5pm the day prior for any cancellation or change to your booking. Members who provide less than sufficient notice or simply forget about their booking will be charged in full as scheduled.

Renewal refunds to credit cards may be subject to processing fees to refund your purchase to your credit card by the payment processing company. Renewal refunds are subject to cancellation penalties if the cancellation request is not submitted in accordance to the terms.
MEMBERSHIP TIERS
Membership Tiers refers to the type of membership purchased and the benefits included within that tier. Some Membership Tiers are limited to a select number of golf courses set by CorporateGolfXtra administration. All CorporateGolfXtra policies will apply to all CorporateGolfXtra Members alike, regardless of what tier they reside in. Courses may be added and/or removed from the list of availability at CorporateGolfXtra’s discretion at any time. Members who use benefits not included in their Membership tier will automatically be upgraded to the tier that includes the benefits used at the current Membership rate.
NON-TRANSFERABILITY & ACCOUNT MISUSE

Memberships may only be used by the individual whose name appears on the account, and any sharing, loaning, selling, or permitting another individual to use a Membership is strictly prohibited. Members are required to maintain accurate and truthful information within their account at all times. Any attempt to change, alter, or falsify account details, including but not limited to name, contact information, or payment credentials, for the purpose of allowing another individual to access Member benefits will be considered a breach of this Agreement. CorporateGolfXtra reserves the right, at its sole discretion, to respond to suspected or confirmed misuse by suspending or terminating the Membership without refund, cancelling future bookings, and forfeiting any credits, discounts, or promotions associated with the account. CorporateGolfXtra may also apply administrative charges to cover losses incurred and pursue legal action to recover damages or lost revenue where applicable. The only exception to this policy applies to Corporate Memberships, which are expressly structured as transferable and remain subject to the terms outlined in the “Corporate Memberships” section.
CORPORATE MEMBERSHIPS
The CorporateGolfXtra Corporate Membership does not require the corporation to purchase any Membership fees. The Corporate Membership is bulk-purchasing a specified amount of green fees in advance for the season purchased. The prepaid green fees are fully transferable and must be booked through the portal provided to the corporation by CorporateGolfXtra. Approval of each booking is required by the corporation via email and will be based on course availability. Corporate Memberships expire On December 31st of the year purchased and any unused inventory or green fees left on corporate accounts will expire with the Membership and do not carry forward into consecutive years.
MEMBERSHIP REFUND POLICY
All new Membership Fees or Membership Dues that did not participate in the Auto-Renewal program are considered a final sale and are non-refundable. IF a credit card refund is requested and subsequently approved, a minimum credit card processing fee of 10% will be deducted from the total refund amount. Memberships that have been renewed on the November 15th Auto-Renewal date will have until March 1st of the following year to request a refund. Refund requests made after March 1st will be reviewed on a case-by-case basis and, if approved, will be subject to a minimum 25% Late Cancellation Fee. Refund requests made after March 15th will be subject to a minimum 50% Late Cancellation Fee, and refund requests made after April 1st will be denied, with the potential option of deferring the membership, as outlined in our Membership Deferral Policy in these Terms & Conditions. Memberships will not be retroactively refunded, nor will a credit be issued if a membership simply goes unused. Refunds will not be provided due to acts of God, weather-related conditions limiting course availability, forced shutdowns, or Force Majeure.
MEMBERSHIP DEFERRAL POLICY
CorporateGolfXtra Members may be eligible for a Membership Deferral, allowing Membership Dues to be carried over to the following season if the membership cannot be utilized due to physical or mental health reasons or temporary relocation/emigration. An application is available upon request from CorporateGolfXtra Administration (playgolf@vipgolf.ca) and may require legal documentation from a physician. A $100.00 fee applies to approved applications submitted after May 31st, and a $250.00 fee applies to approved applications submitted after June 30th. Applications submitted after July 31st will not be approved. Membership Deferral fees are non-refundable. Deferrals are not available for unforeseen circumstances such as acts of God, weather-related conditions limiting course availability, forced shutdowns, or Force Majeure. A deferral will also not be granted if the membership has been used within the purchased year, if it is a consecutive deferral from the previous season, or if the membership simply goes unused.
SAVINGS GUARANTEE
CorporateGolfXtra offers a Savings Guarantee for renewing Members, providing a credit of up to $100 if total savings do not exceed the regular membership price. Savings from CorporateGolfXtra Green Fees (compared to the regular course rates listed on our website) and any discounts applied when purchasing a Membership will be included in the total. FREE TRIAL MEMBERSHIP
From time to time CorporateGolfXtra may offer a numbered day “Free Trial” or “DEMO” of the Membership. “Free Trial” or “DEMO” refers to Membership Dues only. Any individual who partakes in a trial will be required to pay the Preferred Green Fee rates for any golf played using the CorporateGolfXtra Membership during this trial period. A credit card must be supplied by the said individual for CorporateGolfXtra Member Green Fees to be charged as per regular charging policies. CorporateGolfXtra holds the right to discontinue any trial at any time and holds the right to terminate an individual’s trial at any time if CorporateGolfXtra administration feels they are not adhering to CorporateGolfXtra Member policies. After a trial period is over the individual is not obligated to continue on as a paid Member.
PREFERRED GREEN FEE RATES
The preferred green fee that you receive from CorporateGolfXtra as a Member are set by CorporateGolfXtra Inc. All rates are based on 18 holes of play unless stated otherwise. CorporateGolfXtra reserves the right to change these fees or benefits included with them at any time without notice to you by posting any changes on this web site. Preferred Green Fee rates will not be adjusted for various factors such as course conditions or time of play. All Green Fees and Savings are calculated by our rate charged, compared to the regular prime time rack rate posted by the golf course in question. This applies to all rounds played and will not be adjusted for special price events held by any course such as a twilight round or reduced pricing due to course factors. Members preferred rates for reservations made may be billed to Members accounts at any time after the 5pm cancellation deadline one day prior to any booking or reservation held by said Member. Final authority on any discrepancies regarding CorporateGolfXtra preferred green fee rates will lie with CorporateGolfXtra Administration.
PREFERRED GREEN FEE SPECIAL PROMOTIONAL OFFERS
CorporateGolfXtra offers special promotional rates at specific golf courses for specific times and dates. These promotional rates do not qualify for any weather related cancellations and the charges will stand if the course is open. The following categorised specials will follow this policy and will be billed accordingly: DEDICATED T-TIMES; MEMBER|GUEST EVENTS; MEMBER|GUEST SPECIALS.
TWILIGHT SPECIALS
CorporateGolfXtra may offer “Twilight Specials” at various venues. These specials may only be booked on the day of play and must be after the specified time in order to receive the CorporateGolfXtra Member Preferred rate. Slots booked for play during unauthorized tee times will result in the full rack rate being charged to the member’s account. CorporateGolfXtra Members may not hold a regular slot and then call in on the day of play to change to our twilight specials. If Members are holding a slot at a course and request to change to twilight on the day of play, the request will be denied and the Member will be charged for the regular CorporateGolfXtra Preferred Green Fee. CorporateGolfXtra reserves the right to modify or change any aspect of any Twilight Special which includes rates, time of play allowances or available days for play. All Twilight Specials are based on availability and inventory supply within our regular booking queues.
GUEST OR NON-MEMBERS
Unless otherwise specified any non-member or public playing with a CorporateGolfXtra member will be responsible for payment at check in to the golf course at the golf courses rack rate at time of play.
GUEST OR NON-MEMBER GREEN FEE SPECIALS
CorporateGolfXtra may offer “Guest Rate” options within the membership booking app. These guest green fees will be changed to the members account at the rate set by CorporateGolfXtra. It is the members responsibility to collect from their guests if need be. Guests booked through CorporateGolfXtra may not pay for a green fee at the course as it will be collected by CorporateGolfXtra through said members account payment method.
TEE TIME LOCK IN OPTION
CorporateGolfXtra may offer a special lock in option for some courses in which we have pre-booked tee times for our clients and guests. This lock in option will allow bookings of tee times ahead of our regular booking window. All locked in tee times will be billed at the rate posted at the time of booking. Cancellations of these locked in tee times are only permitted due to weather circumstances which would justify a cancellation due to inclement weather. The CorporateGolfXtra weather cancellation policy will be the determining factor in a weather related cancellation and as stated all cancellations must occur before the group has teed off. In the case of an acceptable weather related cancellation, the Members in question account/s will be credited for the amount billed. This credit amount will be placed on account and will be applied to the next charge/s on the account until used up.
HOLIDAY RATES
If a holiday falls on a weekday, CorporateGolfXtra’s preferred rate will reflect the course in question’s weekend rates. If it is a holiday, weekend/holiday rates will be in effect even though it falls on a weekday.
GREEN FEE REFUNDS
In the case of an improperly booked Green Fee or if it falls inside our cancellation period and is deemed by CorporateGolfXtra administration to be refunded, the value of the charge will be refunded in the form of a credit. The credit value will be placed on the Member’s account and will be applied to their next CorporateGolfXtra purchases until used up. Green Fee Credits are non-transferable. If a credit card refund is requested, there will be a credit card processing fee applied, which ranges from a minimum of $10.00 to a maximum of 10% of the total refund amount.
PREPAID GREEN FEE CREDIT
Any Green Fee Credit that has been applied to Member accounts may only be used toward purchases of CorporateGolfXtra Preferred Green Fees or Membership Dues. The Green Fee Credit will automatically be used toward Preferred Green Fees or Membership Dues until used up. The remaining balance will be charged to the credit card on file. Green Fee Credit cannot be used to purchase more Prepaid Green Fee Credit or Prepaid Green Fee Credit through Special Promotions. Any Prepaid Cash Credit purchased as a special offer or as a prepaid Preferred Payment may only be used towards purchases offered through CorporateGolfXtra Inc. Prepaid Cash Credits are non-transferable and non-refundable. Once credit is applied to an account, it does not expire and may be used while there is a standing balance. Former Members with a credit balance that do not renew their Membership may continue to use their credit toward green fees at CorporateGolfXtra’s partnered courses when booked by CorporateGolfXtra Administration. These former Members will be charged the regular rack rate green fee of the course in question at the time of play.

DAMAGE TO GOLF COURSE PROPERTY

Damage resulting from negligent, reckless, or intentional actions will be reported by the course to CorporateGolfXtra. CorporateGolfXtra will settle the claim with the venue and charge the responsible Member’s payment method on file for the full amount billed.
